V.  Absences

1. Administration of attendance policy lies with the individual instructor for each course. The individual instructor determines the number and nature of absences allowable in each course. Instructors should be sensitive to extraordinary requests from students about absences, such as religious observances, military duty, jury duty, medical, and other similar events. Students are responsible for providing proof of needed absence from the appropriate authority.  Instructors make the ultimate decision; however, students have the power to appeal to the department chair or dean.  Sanctions may be imposed for excessive absences up to and including dismissal from the course. If the instructor intends to attach a formal sanction (grade reduction or dismissal from the course) to inadequate attendance, he/she must include in the course syllabus the specific expectations and steps to be taken in such cases. Such steps will include 2 academic alerts initiated in time to provide due warning before the absence which will give rise to the drop.

2. If the student accrues sufficient absences to warrant dismissal in accordance with the course syllabus, he/she will be dropped from that class by the Office of the Registrar at the written request of the instructor. No grade will be recorded if this action takes place prior to the end of six weeks (three weeks during an eight-week summer session). During the period after six (6) weeks of a semester and prior to three (3) weeks before the end of classes, a withdrawal will be recorded on the transcript if the instructor drops the student from the course. The instructor may not effect a withdrawal from the course during the last three (3) weeks of classes or during Final Examination Week.

3. Any work missed for any reason must be made up to the satisfaction of the instructor concerned.

4. Each department may adopt absence regulations in addition to those of the individual instructor. These regulations should be either posted on  department  bulletin boards or incorporated as part of each course syllabus.

 

Dropping Students After the Enrollment Verification Survey Has Closed

If an instructor needs to drop a student from a course for excessive absences after the Enrollment Verification Survey timeframe, they should do the following:

1. Log onto S&T Connect https://sandtconnect.mst.edu/ and raise an Attendance Concern Flag for the student.

2. If the student does not resolve the attendance issues with the instructor after the Attendance Concern flag is raised, the instructor should log into S&T Connect (at least 48 hours after the first flag has been raised) and raise the Attendance Warning Flag.

3. If the student still does not resolve their attendance concern with the instructor, the instructor should email Evie Sherlock (esdk3@mst.edu) stating that they have raised the two attendance related flags within S&T Connect with no resolve and that the student should now be dropped.

4. We wait another 48 hours to allow the student time to reach out to the instructor (and/or allow time for the instructor to notify us that the student should be allowed to remain in the course).

      • We then verify the flags raised, process the drop (using the date of the first flag raised), and close the flags.

*Student(s) will not be dropped unless all three steps above are completed.
